M04 · QUALITY & ACCREDITATION

Connect applications, evidence, criteria and assessors in a traceable process

Manage accreditation calls, applications, documentation, assessment teams, evaluation criteria and results through the Essenzial Digital Platform.

The process no longer depends on scattered documents, emails and controls, maintaining instead a continuous relationship between applicants, the Technical Secretariat and assessors, from application through to the final decision.

ACCREDITATION REQUIRES MUCH MORE THAN RECEIVING AN APPLICATION

One application record, multiple pieces of evidence, criteria and people involved

Accrediting units, centers, services or activities requires bringing together verifiable information, applying consistent criteria, coordinating assessors and preserving the traceability of every decision.

Accreditation applications and records

Manage applications

Configure calls and gather the information required to start and complete accreditation in a single application record.

Evidence, documentation and quality requirements

Gather evidence

Organize documentation, requirements, areas, accreditation levels, healthcare activity and technical resources.

Assessment teams and application assignment

Coordinate assessors

Create teams, identify professionals and assign the applications each assessment team must review.

Criteria, evaluation and accreditation decisions

Evaluate and decide

Apply criteria defined by the organization, consolidate assessments and obtain traceable results.

THE ACCREDITATION PROCESS

THE PLATFORM IN ACTION

Capabilities supporting the application record and accreditation process

Existing functionality is organized around the real accreditation journey: information, evidence, assignment, evaluation and results.

APPLICATION AND EVIDENCE

Centralize the information required to accredit a unit or activity

Documentation associated with calls can be organized by areas, accreditation levels, requirements and document types. Applicants start the application through Quality services and continue completing it from their private area.

The record can include information on healthcare activity and relevant technical resources, keeping data and documents linked to the application.

  • Calls and accreditation levels.
  • Requirements and documentation.
  • Healthcare activity and technical resources.
  • Continuity between application and private area.

PROCESS CONTROL

The Technical Secretariat knows the status of every application

From Quality administration, the accreditation and its round can be selected to access applications registered through the Web and review their status.

This administrative view keeps the application record under control before it enters the evaluation stage and separates administrator functions from those of the assessor.

  • Selection of accreditation and round.
  • Applicants and application status.
  • Centralized administration.
  • Separation of responsibilities by role.

ASSESSMENT TEAMS

Organize the people involved in accreditation

The Platform makes it possible to maintain existing assessment teams and their members, with search and filtering mechanisms to identify the right profiles.

Teams can be configured and reused to coordinate assessor participation across different applications.

  • Assessment teams and members.
  • Search and filters.
  • Configuration of new teams.
  • Reuse of the evaluation structure.

ASSIGNMENT

Determine which team assesses each application

Applications can be assigned to the teams responsible for their evaluation. This gives the organization an overall view of assignments and the people involved in each record.

This separation between work organization and evaluation allows each assessor to subsequently access the applications assigned to them.

  • Assignment of applications to teams.
  • Overall view of assignments.
  • Distribution of accreditation work.
  • Access based on responsibilities.

EVALUATION

Apply accreditation criteria defined by the organization

Criteria are established at quality accreditation level so team members can evaluate each application on a common basis adapted to the process.

When an assessor logs in, the experience focuses on evaluation; organization and assignment functions remain reserved for the Accreditation administrator.

  • Configurable accreditation criteria.
  • Application scoring.
  • Evaluation by assessors.
  • Role-specific experience.

RESULTS

Consolidate the outcome and conclusions of the process

The Platform brings together online data on the status of the selected application and provides a consolidated view of the evaluation process.

The result can be complemented by an executive-summary report presenting the conclusions of the accreditation for the corresponding call.

  • Application status.
  • Evaluation results.
  • Consolidated view of the application record.
  • Executive summary of conclusions.

INTELLIGENT EVOLUTION

A foundation ready to automate and assist accreditation processes

When application records, evidence, criteria, roles and statuses are structured, automation and assistive capabilities can be progressively incorporated to reduce repetitive tasks and simplify tracking.

AI can help organize, check or summarize information, while accreditation criteria, professional assessment and final decisions remain the responsibility of the organization and its assessors.

A SCOPE THAT CAN EVOLVE

Accreditation, certification and professional development are related, but they are not the same

The capability currently demonstrated by this module focuses on third-party accreditation —units, centers, services or activities— through applications, evidence, assessors, criteria and results. Its integration with Training also makes it possible to connect certificates and other professional-development processes without confusing their different purposes.
